Small Business NAS & File Server Setup in Toronto and the GTA
A shared drive that the whole team can use, with sensible permissions, backups that survive a drive failure or ransomware, and secure access from home. Set up remotely across the GTA and quoted upfront.
Remote setup across the GTA · Quoted per project · No on-site visits
Many small offices run on a shared folder on someone's computer, a few USB drives, and a cloud service nobody fully controls. When the computer dies or a file is overwritten, there is no safety net. A properly set up NAS or file server gives the team one shared place for files, user logins, and automatic backups.
We plan, set up and support business NAS and file servers remotely across the GTA. We do not make on-site visits. For hardware, you can bring it to our North York workshop by appointment and we will pre-configure it, or we guide whoever is in your office through the physical steps.
What We Set Up for Small Businesses
Shared folders and team permissions
One structure for the whole team with the right people able to see the right folders, and former staff removed cleanly.
Backups that actually restore
Scheduled backups of the NAS and of staff computers, plus an off-site copy, tested by restoring files and not assumed to work.
Ransomware and accidental deletion protection
Snapshots and versioning so a deleted or encrypted folder can be rolled back to yesterday.
Secure remote access for staff
A private VPN-style connection such as Tailscale so staff reach files from home, without exposing the office to the internet.
Moving off an old server or a USB drive
Migrating files, folder structure and permissions to the new system with a check that nothing was missed.
Moving off Dropbox or other cloud storage
Bringing files in-house when cloud costs, privacy or speed are the issue, or running both together.
Self-hosted tools
Nextcloud, a document store or other apps hosted on your own hardware, where it makes sense and someone is responsible for updates.
Monitoring and maintenance
Drive health alerts, updates and a check that backups still run, so a failing disk is replaced before data is lost.
Should Your Business Use a NAS or the Cloud?
A NAS gives you fast local access, no per-user fee and control over where data lives. The downsides are that someone has to maintain it and it is in one place unless you back it up elsewhere.
Cloud storage is easier to maintain and reachable anywhere, but costs more over time and depends on your internet. Many small businesses do best with both: a NAS for daily work and an off-site cloud backup. We recommend what fits your size and budget, and say so when the cloud alone is the better choice.
The 3-2-1 Rule in Plain English
Keep three copies of important files, on two different kinds of storage, with one copy off-site. A RAID array or a NAS on its own is not a backup, because it does not protect against ransomware, deletion, theft or fire.
We set up the NAS, a second copy on separate storage, and an off-site copy, and we test a restore so you know it works.
Client Data and Clinics
If you hold client or patient information, tell us at the start. We keep sensitive data off third-party AI tools by default, use encrypted access and set permissions on a need-to-know basis. We help you set up the technology, but we do not provide legal advice about privacy law.
From First Message to Fixed

We recommend a setup and backup plan, and give a project quote before any work.
Step 3: Set up, migrate and test
Built remotely, files moved over, access tested for each user, and a restore test done.

Small Business NAS and File Server Questions FAQs
Does my small business need a NAS?
If staff share files and you rely on one computer or USB drives, a NAS gives you one organised place with backups. For a very small team with simple needs, cloud storage alone may be enough, and we will say so.
Synology, TrueNAS or something else?
Ready-made systems like Synology are simpler to run for an office. TrueNAS is more powerful but needs more technical care. We recommend based on who will maintain it.
Can staff access files from home?
Yes, through a private connection such as Tailscale or a VPN, set up and tested by us. We avoid opening router ports.
Do you come to our office?
No. We work remotely across the GTA. You can bring hardware to our North York workshop by appointment.
What does it cost?
We quote per project after a short chat, based on team size, data volume and backup needs. Consulting is $40 an hour.
Is a NAS a backup?
No. It needs its own backup, including an off-site copy. We set up both and test a restore.
Can you supply the NAS and drives for our office?
Yes. We can supply the NAS, drives and any extras, set it all up and deliver it ready to use, or set up hardware you already own. The hardware is quoted separately and agreed before we order it.
Can you move us off Dropbox or Google Drive?
Yes. We migrate files and folder structure, and can run both during the changeover.
